Construction enquiry management starts before estimating software. The first task is to turn a free-text email, website form or phone note into a record that tells the office whether the job is in area, in scope and ready for the next conversation.
The checklist below is deliberately tool-neutral. It can be implemented in a spreadsheet, CRM, job-management platform or an intake automation behind the systems already in use.
Capture facts that change the routing decision
Record the customer's own contact details, site postcode, domestic or commercial context, work type, requested timing and source message. Add drawings, photos, specifications or tender links as referenced evidence rather than copying an untraceable summary.
Service area, trade fit and minimum-scope rules should be explicit. If the postcode or scope is missing, the record should say which question must be answered; it should not guess that the job belongs to a branch or estimator.
Define what survey-ready and estimate-ready mean
A survey-ready enquiry has enough location, access, work-type and contact information for the correct person to arrange a visit. An estimate-ready enquiry has the evidence your estimator requires for the type of work—perhaps dimensions, drawings, specification, quantities or a survey outcome.
Keep these states separate. A quick acknowledgement is not qualification, and an enquiry should not enter estimating merely because it has waited in the inbox for a day.
Use one owner and one dated next action
Every open enquiry needs a named owner, a visible state and one dated next action. 'Office', 'estimating team' or 'waiting' are not accountable owners or actions. Use actions such as request drawing, confirm service radius, book survey or issue no-fit response.
Automation can extract declared facts, prepare the record and route routine cases. Technical feasibility, price, capacity, contractual commitments and unusual work remain human decisions.
Audit the first month
Compare source forms and inboxes with the enquiry register. Count records with no owner, no next action, missing evidence or an unresolved integration error. Review misrouted examples and adjust the field contract or rule that caused them.
Do not claim a win-rate improvement from cleaner intake alone. Establish capture and hand-off reliability first, then compare commercial outcomes using the contractor's own consistent records.
