A validated enquiry can create or update a Contact, create the agreed Deal, attach a plain-language Note and retain the original source identifier. The exact object path is agreed before implementation.
Owner and follow-up task or dated next action are created as part of the same intended state. This lets the team see enquiries that have no owner or no next step without reconstructing the hand-off from inbox history.
Make ownership and routing explicit
Owner assignment can follow approved rules such as service, region, existing account ownership or a named queue. When no rule can decide safely, the record goes to review rather than to an arbitrary salesperson.
Pipeline stage, task wording and the information included in the Note are agreed with the people who use the record. The workflow supports their decision; it does not make the sales decision for them.
Keep repeated delivery safe
Matching and idempotency rules stop a retried form event, repeated webhook or forwarded message from creating the same intended record twice. Reliable keys are documented for the Contact and Deal path.
Ambiguous matches, partial API failures and permission changes remain visible in an exception path. The workflow reports the step it could not complete instead of presenting a partial write as success.
Use rules, bounded AI and human review
Deterministic rules handle known validation and routing conditions. AI can assist with extraction, classification or summarisation when the input is unstructured and the source remains available for verification.

Is historical data migration included?
